Budgets are shrinking, timelines are compressing, and transformation leaders are under pressure to deliver measurable outcomes faster than ever.<\/p><p>In a recent webinar \u201cDoing More with Less: Turning Change Management into Measurable Impact,\u201d hosted by <a href=\"https:\/\/www.linkedin.com\/in\/timmorton-prompta\/\">Tim Morton<\/a> of Prompta AI with special guest <a href=\"https:\/\/www.linkedin.com\/in\/donna-hui\/\">Donna Hui<\/a>, an experienced change leader , shared that we\u2019re being asked to deliver faster, quicker, and better but with fewer resources. It underlines the urgency of rethinking how organizations plan, measure, and lead change.<\/p><p>\u00a0<\/p><h3>Rethinking Transformation: From Intuition to Insight<\/h3><p>For Prompta AI, the turning point came when a client\u2019s CIO asked a deceptively simple question: \u201cWhy aren\u2019t you using data to drive transformation?\u201d That question helped shape Prompta AI\u2019s mission to give change leaders better data, better insights, and better tools. Tim shared that \u201cWe wanted to elevate the role of the change leader, to move from intuition to insight, and from static plans to timely action.\u201d<\/p><p>Donna echoed the need for human-centered data. \u201cChange management is what helps smooth the transition from manual to automated processes,\u201d she said. \u201cBut more importantly, it brings a human-centered design to transformation.\u201d<\/p><p>Both agreed that legacy systems and legacy thinking often create resistance. \u201cThere needs to be respect for the systems and people who built them,\u201d Donna explained. \u201cAcknowledging what currently works helps bridge the divide between the old and the new.\u201d<\/p><h3>\u00a0<\/h3><h3>The Hidden Cost of Skipping Discovery<\/h3><p>Under pressure to move fast, many organizations reduce or skip discovery the crucial step of listening deeply before acting. \u201cCorners are being cut,\u201d said Donna. \u201cTeams jump straight into delivery without doing enough prep and planning.\u201d<\/p><p>Tim added that many change frameworks assume discovery has already happened. \u201cWe need to understand employees\u2019 lived experiences, their sentiment, their pain points. If we skip that, we\u2019re setting ourselves up for rework later.\u201d<\/p><p>That rework can be costly. Donna noted that \u201ca proper upfront discovery, just 10 to 20 percent of total project time, can reduce rework by up to 50 percent.\u201d<\/p><h3>\u00a0<\/h3><h3>Seeing Beneath the Surface: Culture as the Hidden Risk<\/h3><p>One of the most striking visuals shared in the webinar was an iceberg representing culture: the visible 10 percent of formal systems above the surface, and the 90 percent of hidden mindsets, fears, and informal behaviors below.<\/p><p>\u201cWith AI-driven sentiment, we can finally see some of that 90 percent that was previously hidden,\u201d Tim explained. \u201cIt gives leaders a real picture of what\u2019s happening beneath the surface.\u201d<\/p><p>He shared an example of a company trying to fix what it thought was a major employee problem based on the loudest voice in the room. \u201cWhen we analyzed the data, that issue was actually near the bottom of the list. They were about to spend time and money solving a problem that didn\u2019t exist.\u201d By listening at scale, organizations can identify what truly matters and address risks before they derail progress.<\/p><h3>\u00a0<\/h3><h3>Turning Insight into Action: Agile Change Sprints<\/h3><p>Prompta AI\u2019s approach combines sentiment analytics with what Tim calls \u201cAgile Change Sprints.\u201d These rapid feedback loops convert insight into action &#8211; helping leaders, managers, and employees move forward together.<\/p><p>\u201cIn one large transformation,\u201d Tim recalled, \u201cwe helped the client take sentiment data and immediately turn it into short, six- to eight-week change sprints. Leaders got clear actions, people managers knew what to do next, and employees saw their feedback reflected in real time.\u201d<\/p><p>The results were remarkable: engagement rose, resistance dropped, and the eventual rollout was, as Tim described, \u201ca non-event, because everyone was already on board and ready to transition.\u201d<\/p><p>Donna emphasized that measurable change doesn\u2019t happen by accident. \u201cAt every stage of the employee or customer journey, you can define metrics &#8211; behavioral, perceptional, or financial and tie them to adoption and ROI,\u201d she said. \u201cThat\u2019s how we connect change management to business outcomes.\u201d<\/p><h3>\u00a0<\/h3><h3>Redefining ROI: From Hours Saved to Human Impact<\/h3><p>ROI in transformation is no longer just about dollars saved but it\u2019s about time, engagement, and wellbeing. Donna shared a story from a healthcare organization that automated manual workflows. \u201cWe measured the time and effort before and after automation,\u201d she said. \u201cAt one stage we saw a 40 percent reduction in effort, and another stage saw 60 percent.\u201d But the real win came from what employees did with that reclaimed time.<\/p><p>\u201cThey told us, \u2018Now I can go home to my family earlier,\u2019\u201d Donna said. \u201cROI means something different to everyone. For leaders, it\u2019s efficiency and revenue. For employees, it\u2019s balance and fulfillment.\u201d<\/p><h3>\u00a0<\/h3><h3>Elevating the Role of the Change Leader<\/h3><p>For years, change managers have been viewed as tactical implementers. Tim believes AI is changing that. \u201cChange professionals leveraging tools like Prompta AI are now at the forefront.
